Privacy Policy for the use of the AIS Digital App

The Association for the Advancement of Automotive Medicine (“AAAM,” “we,” “us,” or “our”) is committed to protecting the privacy of users of the AIS Digital App. This Privacy Policy describes how we collect, use, store, and protect information in connection with your use of the app.

Overview
The Abbreviated Injury Scale (AIS) Digital tool assists users in identifying the appropriate AIS code when coding traumatic injuries. This app is designed for healthcare professionals and supports HIPAA compliance through careful data handling and protection measures. The AIS Digital App is not intended for use by individuals under the age of 18.

Information We Collect
When using the AIS Digital App, you may choose to utilize the "case feature," which may involve the
input of limited patient data:

• Patient initials
• Age
• Sex
• Country of residence

No personally identifiable information (PII), such as full names, medical record numbers, or specific health data beyond AIS injury coding, is collected or stored.

Use of Information
We use the information collected in the following ways:

  • Case Management: To allow users to create, save, and access injury cases within their secure
    accounts. This information is not accessible by other users of the AIS Digital App.
  • App Improvement: We may use de-identified data (age, sex, country, and injury codes) to
    enhance future development of the AIS coding system and improve app functionality.

No data is used for marketing or advertising purposes.

Legal Basis for Processing (Global Users)
For users in jurisdictions with data protection laws (e.g., GDPR), we process de-identified information based on our legitimate interest in improving and supporting the AIS coding system. Where required, we obtain user consent prior to collecting any data.

Data Storage and Security

  • All data is stored securely in the cloud and is accessible only through user-authenticated
    accounts.
  • Case-related data, including patient initials, is encrypted both in transit and at rest.
  • We use industry-standard security practices to protect against unauthorized access, disclosure,
    or loss.
  • Data may be stored using third-party cloud service providers under contract with AAAM. These
    providers are obligated to maintain security standards that comply with applicable privacy
    regulations.

Data Sharing
We do not share, sell, rent, or trade user or data with any third parties. All data remains within the secure AIS Injury environment.

HIPAA Compliance
The AIS Digital App is designed to support compliance with the Health Insurance Portability and Accountability Act (HIPAA). We do not collect protected health information (PHI) as defined by HIPAA. Any case information submitted is de-identified in accordance with the Safe Harbor method outlined in HIPAA regulations. Only the minimum data necessary for case tracking and coding development is collected and retained.

Children’s Privacy
This app is not intended for use by individuals under the age of 18. We do no knowingly collect personal data from children. If we become aware that data has been collected from someone under 18, we will delete it promptly.

  • User Controls
    You may access, update, or delete your account and case data at any time through the app settings.
  • If you would like to request data deletion or have specific privacy concerns, please contact us directly (see contact information below).

Data Retention
We retain user case data for as long as the user maintains an active account or as needed to fulfill the purposes outlined in this policy. Upon account deletion, associated data will be permanently deleted from our systems within thirty (30) days, unless a longer retention period is required by law.

Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When changes are made, we will notify users via in-app notifications or updates. Please review the policy periodically to stay informed.
